About the role

Alcon is looking for an Executive assistant to support the Alcon Nordic Leadership Team with a wide range of tasks. In this role you will, among other things, coordinate the four Nordic offices and be responsible for internal communication. In addition to this you will be responsible for organizing events such as Christmas parties, meetings, travel plans, and much more. Two days are never similar, it is therefore crucial that you are comfortable with changes in a dynamic and fast-paced environment. The scope of work requires that you have a great sense of prioritization and organization. It is essential that you can maintain overview and are structured in your handling of multiple tasks simultaneously. It is essential that you are confident and engaged with a passion for ensuring close collaboration within and across teams – and that you possess the courage to challenge and improve Alcon’s way of working. You will have a lot of contact with people in- and outside the company, which is why it is important that your communication skills are strong and that you enjoy being in contact with many people throughout the day.

Work tasks

  • General Executive Administrative Support
  • Arrange corporate events, site activities that elevates Alcon's culture, and occasional executives’ visits
  • Facilitate weekly Leadership Team meetings, including agenda preparation, invitations, and minutes
  • Plan and assist in organizing two Town Hall meetings in May and September
  • Support the introduction and onboarding process for new employees
  • Become SPOC for all Alcon Nordic Country Coordinators (Finland, Sweden, and Norway), to deliver messages from Leadership team and collect insights from those coordinators
  • Become Country Coordinator for Denmark, be the entry point for main local partners/suppliers ISS and KLP, coordinate local franchises and functional teams on specific matters such as “Alcon emergency management”
  • Maintaining Alcon Nordic Insight (Intranet) pages
  • Responsible for Internal Communications & Associates Engagement including HR announcement
  • Single person of contact for Alcons International Corporate Affairs team
  • Facilitate external communication with trade/association/government in collaboration with Alcon Nordic Managing Director
  • Crafting an annual communications plan and maintaining a calendar overview of all activities to share with Alcons Nordic offices
  • Utilizing, monitoring & update internal distribution channels & tools (distribution list, mass email, leader distribution lists)

We are looking for

  • Up to 2-3 years of relevant experience; compensation is aligned with a junior-level role.
  • Brings high energy, a strong sense of urgency, and a commitment to quality outcomes
  • Excels in organisational skills, with the ability to prioritise tasks and handle multiple responsibilities effectively
  • Thrives in a fast-paced and changing environment, adapting readily and maintaining a positive attitude
  • Is service-oriented, approachable, and capable of understanding and efficiently addressing the needs of others
  • Demonstrates confidence, engagement, and a passion for fostering collaboration within and across teams, as well as a willingness to challenge and enhance the work processes
  • Is fluent in both written and verbal English It is meritorious if you have:
  • Possesses proficiency in MS Office applications (Outlook, PowerPoint, Excel)
  • Is fluent in both written and verbal Danish
